Babel Management Inc. (“Babel”, “we”, “us”, or “our”) operates the Babel platform, including the website at managewithbabel.ca and the Babel mobile application. This Privacy Policy explains how we collect, use, disclose, and safeguard your information when you visit our website and use our services.

Information We Collect

Website Usage Data

We collect standard website usage data through PostHog, a product analytics platform. This includes information such as your browser type, device type, pages visited, time spent on pages, and referring URLs. This data helps us understand how visitors interact with our website and improve our services. PostHog processes this data in accordance with PostHog's Privacy Policy.

Form Submissions

When you submit a form on our website (e.g., contact form, demo request), we collect the information you voluntarily provide, such as your name, email address, phone number, and the content of your message.

Financial Data via Plaid API (Optional)

If you choose to use our financial integration features, we may collect financial data through the Plaid API. This integration is entirely optional and requires your explicit consent before any data is accessed. You may revoke access at any time.

How We Use Your Information

We use the information we collect for the following purposes:

  • Site analytics: To understand website traffic, user behavior, and improve our services.
  • Responding to inquiries: To respond to your questions, requests, and feedback submitted through our contact forms.
  • Financial insights: If you have opted in to the Plaid integration, to provide financial insights and budget management features within the platform.

Third-Party Sharing

We do not sell your personal data.

We may share your information in the following limited circumstances:

  • Plaid: If you use our financial integration features, your financial data is shared with Plaid in accordance with Plaid's privacy policy.
  • HOA Committees: If you are a member of an HOA using Babel, your HOA committee may have access to certain financial data for community management purposes. The HOA committee is responsible for decisions regarding the further sharing of such data.
  • Service providers: We may share information with third-party service providers who assist us in operating our platform (e.g., hosting, analytics, customer support), subject to confidentiality obligations.
  • Legal requirements: We may disclose information if required by law, regulation, legal process, or governmental request.

Plaid Integration

Our platform offers an optional integration with Plaid to provide financial management features. Important details about this integration:

  • The Plaid integration is entirely optional — you are not required to connect a financial account to use Babel.
  • Connecting your financial account requires your explicit consent.
  • You may revoke access at any time through your account settings.
  • When you disconnect, your Plaid data will be deleted within 30 days.

Data Retention

We retain your information for the following periods:

Data Security

We implement appropriate technical and organizational measures to protect your personal information against unauthorized access, alteration, disclosure, or destruction. Children’s Privacy

Our Service is not directed to individuals under the age of 18. We do not knowingly collect personal information from children under 18. If we become aware that we have collected personal data from a child under 18 without verification of parental consent, we will take steps to remove that information.

We may update this Privacy Policy from time to time. We will notify you of any changes by posting the new Privacy Policy on this page and updating the “Last updated” date. You are advised to review this Privacy Policy periodically for any changes.

PIPEDA Compliance

Babel Management Inc. is committed to compliance with Canada’s Personal Information Protection and Electronic Documents Act (PIPEDA) and Quebec’s Act Respecting the Protection of Personal Information in the Private Sector (Law 25 / Loi 25). Our practices are guided by the 10 Fair Information Principles set out in Schedule 1 of PIPEDA.

Principle 1 — Accountability

Babel Management Inc. has designated a Privacy Officer responsible for our compliance with PIPEDA. All inquiries, complaints, and access requests should be directed to our Privacy Officer at privacy@babel.management.

Principle 2 — Identifying Purposes

We identify the purposes for which personal information is collected at or before the time of collection. Personal information collected through Babel is used for:

  • Providing and improving HOA management services
  • Processing payments via Stripe
  • Optional financial integration via Plaid (with explicit consent)
  • Website analytics and product improvement
  • Communicating with users about their accounts

Principle 3 — Consent

We obtain meaningful consent for the collection, use, and disclosure of personal information. In our mobile application, users can manage their consent preferences at any time through the Privacy & Data settings screen, including controls for analytics tracking and marketing communications.

Consent for optional services (e.g., Plaid financial integration) is obtained separately and can be revoked at any time.

Principle 4 — Limiting Collection

We limit the collection of personal information to what is necessary for the purposes identified. We do not collect information indiscriminately or collect more information than is required for our services.

Principle 5 — Limiting Use, Disclosure, and Retention

Personal information is used only for the purposes for which it was collected, unless the individual consents otherwise or as required by law. We retain personal information only as long as necessary to fulfill the identified purposes. See our Data Retention section for specific retention periods.

Principle 6 — Accuracy

We keep personal information as accurate, complete, and up-to-date as necessary for the purposes for which it is used. Users can update their personal information at any time through their profile settings in the Babel mobile application.

Principle 7 — Safeguards

We protect personal information with security safeguards appropriate to the sensitivity of the information, including:

  • TLS 1.2+ encryption for all data in transit
  • AES-256 encryption for data at rest (AWS RDS)
  • PCI DSS compliance for payment processing (via Stripe)
  • Role-based access controls and multi-factor authentication
  • Regular security audits and vulnerability assessments
  • 24/7 automated monitoring and anomaly detection

Principle 8 — Openness

This Privacy Policy is publicly available and describes our policies and practices for the management of personal information. We are transparent about our data collection practices and make this information readily available in multiple languages (English, French, Spanish, Portuguese, and Chinese).

Principle 9 — Individual Access

Upon request, we will inform you of the existence, use, and disclosure of your personal information and provide you with access to it. In the Babel mobile application, you can:

  • Export your data in a structured JSON format at any time
  • Request deletion of all your personal data
  • Restrict processing of your personal information

We will respond to access requests within 30 days, as required by PIPEDA.

Principle 10 — Challenging Compliance

You have the right to challenge our compliance with these principles by contacting our Privacy Officer. We will investigate all complaints and take appropriate measures to resolve them. If a complaint is found to be justified, we will take the necessary steps to amend our policies and practices. You may also file a complaint with the Office of the Privacy Commissioner of Canada.

Breach Notification

In the event of a breach of security safeguards involving personal information that creates a real risk of significant harm, we will:

  • Notify the Office of the Privacy Commissioner of Canada as soon as feasible
  • Notify affected individuals as soon as feasible
  • Keep a record of the breach for a minimum of 24 months

This is in accordance with PIPEDA’s mandatory breach notification requirements.
